Privacy Policy

Who we are

The Notary Support Network (TNSN) is run by Dorothy Hibbett, a practicing notary. This policy describes what the site actually does today. If something changes, we update this page.

Information you give us

When you register we collect your name, business email, professional role, and primary state. If you complete your profile you may also add business name, phone, city, county, ZIP, service areas, languages, credentials such as commission, E&O and background screening details and their expiration dates, availability, what you can help with, a short bio, and a photo. Your password is handled by our authentication provider and stored only in hashed form — we never see it.

What other members can see

The member directory is visible only to signed-in members, never to the public or to search engines. You control what appears: privacy settings let you show or hide your business email, phone, ZIP code, and credential expiration dates. Fields you keep hidden are not shown to other members through the directory. By default your business email is visible, and your phone and exact ZIP are hidden — the directory shows only your general area.

Miles, our AI assistant

When you ask Miles a question, your message (and, for signed-in members, any photo or PDF you attach) is sent to our AI provider through the Lovable AI Gateway so an answer can be generated. Miles also looks up official state notary sources, and for signed-in members it can search the members-only directory. TNSN does not save your Miles conversation or your attachments in our database — the conversation lives in your browser window and is gone when you close or reset it. Attachments are passed through for that single answer and are not stored by us. Please don't paste full documents, signer identification, or other sensitive personal details into Miles.

The free 3-question preview for visitors

Visitors who are not signed in can ask Miles three questions. To keep that allowance from resetting on every page refresh, we set a cookie in your browser holding a random ID, and we store a one-way scrambled (hashed) version of that ID together with a one-way scrambled version of the network address your request came from, plus a simple count of questions used. We cannot turn those scrambled values back into your address or your identity, and we do not use them to work out who you are, build a profile, or fingerprint your device. They exist only to count three questions. Because a hashed network address can be shared by several people on the same office or public connection, this count is approximate. These counter rows currently stay in our database until they are removed manually — there is no automatic deletion schedule for them yet.

Analytics

We use Google Analytics 4 to understand how many people visit, which pages they use, where they came from, and how many complete registration. Google Analytics sets its own cookies and identifiers in your browser and processes that information on our behalf. We do not send your name, email, or profile details to Google Analytics.

Advertising measurement (Meta)

We advertise The Notary AI Playbook on Facebook and Instagram, and we measure how well those ads work. If you accept advertising cookies in the notice at the bottom of the site, we load the Meta Pixel, which sets its own cookies and identifiers in your browser and tells Meta when you view a page, view the Playbook page, or begin checkout. If you decline, or make no choice, the Meta Pixel is not loaded at all and none of those browser events are sent. You can change your mind by clearing this site's stored data in your browser. Separately, when Stripe confirms a completed Playbook purchase, our server reports that one sale to Meta through the Meta Conversions API, including the amount, the currency and the product name. We do not send your name, email address, or any other personal identifier to Meta with that report. Declining advertising cookies does not change anything about how the site, your account, or your purchase works.

Payments

Membership subscriptions and Notary AI Playbook purchases are processed by Stripe. Your card number and payment details are entered on Stripe's checkout and never pass through TNSN — we never see or store card data. What we keep is the record we need to give you what you paid for: for a membership, your Stripe customer and subscription identifiers, plan, status, renewal date and cancellation flag; for a Playbook purchase, the email you gave at checkout, the Stripe session and payment identifiers, product, amount, currency, payment status and download activity. The Playbook is also sold on Amazon Kindle; those purchases happen entirely on Amazon and we receive no purchase details from them.

Emails we send

We send account confirmation and password-reset messages, a welcome email, a profile-completion reminder if your profile is still unfinished after about a week, reminders roughly 30 days before a commission or background-screening expiration date you entered, and occasional important membership notices. Reminder emails contain a signed, expiring link that opens only your own profile. Dorothy also receives a notification when a new member joins. We do not send marketing email on behalf of third parties.

The contact form

When you send a message through our contact page, we store your name, email address, subject and message in our community-questions records and email the message to Dorothy at dorothy@thenotarysupportnetwork.com, with your address set as the reply-to so she can answer you. Those messages are readable only by TNSN, not by other members or the public. They stay in our records until deleted manually — there is no automatic deletion schedule.

Service providers

We do not sell member or visitor personal information. Apart from the advertising measurement described above, which carries no personal identifiers, we do not share it with advertisers. We do rely on service providers that necessarily process information to run the site: Supabase (database, accounts, authentication and file storage), Stripe (payments), Google Analytics (site measurement), Meta (advertising measurement, where you have accepted advertising cookies or where a completed purchase is reported), Google Gmail (sending our email), and the Lovable AI Gateway and its AI model provider (Miles). Each handles information only to provide its part of the service. We may also disclose information if the law requires it.

Operational logs

Our servers write short technical log entries when something fails — for example an email that could not be sent, a failed database lookup, or an error from the AI service. These entries can include technical details of the request and are used for troubleshooting only. They are not used for marketing or profiling.

How long we keep things

We have not built automatic deletion timers. Your profile, membership and purchase records, contact-form messages, and Miles preview counter rows remain until you ask us to remove them or we remove them manually. Miles conversations and attachments are not stored by us at all. Stripe and Google keep their own records under their own policies.

Security

Member records are stored in an access-controlled database. Access rules restrict each record so members can only read and edit their own profile, the directory is served through a restricted view that respects your privacy settings, Playbook files are kept in private storage behind expiring links, and passwords are stored in hashed form by our authentication provider — never in plain text.

Your choices and deletion

You can review or update your profile at any time and adjust what other members see in your privacy settings. There is no self-service delete button today: to have your account and information removed, email Dorothy and she will delete it manually. Please allow a few days for her to handle the request, and note that records Stripe must keep for its own accounting and legal purposes stay with Stripe.
